At MakeFlow, we respect your privacy and are committed to protecting the personal data of our clients and
their end-users. This Privacy Policy outlines how we collect, use, and safeguard information processed
through our AI-driven voice and workflow automation services.
1. Transparency & AI Disclosure (TRAIGA Compliance)
In accordance with the Texas Responsible AI Governance Act (TRAIGA), MakeFlow provides the following
disclosures:
- Automated Interaction: Our services utilize "Artificial Intelligence Systems" to
generate voice outputs and manage workflows. When interacting with a MakeFlow voice agent, users are
interacting with a machine-based system, not a human.
- 100% Automation: Our call processing is 100% automated. While MakeFlow
administrators may review system logs for technical optimization, there is no real-time human
listening or intervention during active calls unless specifically requested by the client.
2. Information We Collect
We collect information necessary to provide and improve our AI automation services:
- Voice Data & Audio: Recordings of calls processed by our AI agents (Vapi/Retell
AI).
- Transcriptions: Text-based versions of voice interactions.
- Metadata: Call duration, timestamps, phone numbers, and caller ID information.
- Workflow Data: Information extracted from calls (e.g., names, appointment times) to
be sent to your CRM or Calendar.
3. Biometric Data Notice (CUBI Compliance)
MakeFlow complies with the Texas Capture or Use of Biometric Identifier Act (CUBI):
- No Biometric Identification: Our AI systems process voice audio to understand
intent and respond. We do not capture, store, or use "voiceprints" or other biometric identifiers
for the purpose of uniquely identifying or "tagging" a specific individual.
- Data Purpose: Voice processing is used solely for natural language understanding
and is deleted according to our retention policy.
4. How We Use Your Data
We use the collected data to:
- Execute automated bookings and customer service tasks.
- Improve the accuracy of your specific AI agent’s "Knowledge Base."
- Maintain a record of business transactions for our clients.
5. Data Retention & Deletion
- Retention: By default, MakeFlow retains call recordings and transcripts for 30 days
unless a different period is requested by the client.
- Deletion: Once the retention period expires or the purpose for collection is
fulfilled, data is permanently deleted from our primary servers.
6. Third-Party Processors
To provide our services, we share data with trusted sub-processors including:
- Voice/LLM Providers: Vapi, Retell AI, OpenAI, or ElevenLabs (for voice synthesis
and reasoning).
- Infrastructure: Twilio (for telephony) and cloud storage providers. These partners
are contractually prohibited from using your data to train their public models.
7. Texas Consumer Rights
Under Texas law, residents have the right to:
- Request Access: To know what personal data we have collected about them.
- Request Deletion: To ask that we delete their personal data (subject to legal
exceptions).
- Opt-Out: To opt-out of the processing of data for profiling or targeted advertising
(Note: MakeFlow does not sell data or use it for advertising).
